EVENT FUNDING

Below are details and contacts for EVENT/GROUP FUNDING. We advise that you apply through all resources of GAPSA (including Discretionary, Student group, and Academic event funding) before reaching out to SASGov for discretionary funds.

The following programs are designed for application by groups for organizing events whether they be conferences or other meetings and group events. Details of the major funds are:

       1. The SASGov Discretionary Fund is funded by SASGov and is given selectively.

       2. GAPSA has 4 different funds available. All of them can be applied for with a single application:

    i.   GAPSA Discretionary Funding

    ii.  GAPSA Research Council Academic Event Funding

    iii. GAPSA Student Group Event Funding

    iv. GAPSA Synergy Funding

 

       3. Interdisciplinary GAP Funding for events that involve students from other graduate schools at Penn.

 

SASGOV DISCRETIONARY FUNDING

(Applications closed March 15th for the spring semester)

SASGov’s Discretionary Funding is available at the discretion of SASGov’s VP of Finance to support academic events held by students and student groups from the School of Arts and Sciences. Funding is often limited, but we do our best to provide it each semester. Events will be funded on a rolling basis, but we expect final application deadlines will be roughly around October 15th and March 15th each year.

Because funding will be provided on a first-come, first-served basis, student groups should apply early to increase their chances of securing funding.

Steps for Discretionary Funding:

  1. Student groups should apply to other sources of funding, such as GAPSA’s Academic Event Funding or GAPSA’s Student Group Event Funding, before applying to SASGov’s funding.

  2. Student groups must apply before the deadlines on the SASGov website to be considered for funding.

  3. It is at the discretion of the Vice President of Finance and the Finance Committee to advance your application. If the VP of Finance and the Finance Committee deem your application ineligible, your application will be rejected. The committee shall have at least seven days to review this application.

  4. If your application is advanced by the VP of Finance and the Finance Committee, it must be voted on by SASGov’s GB at a General Body meeting to be approved. 

  5. During the General Body meeting, student groups will provide a presentation of no more than ten minutes on their group and why they are applying for funding from SASGov. The General Body will ask questions for roughly five minutes, and then, once all presentations are done, student group and related graduate group representatives will be asked to leave the room (but should stay close by, as we will announce how much their groups will receive once deliberations are complete). You will then return to the room once applications are provided. 

  6. The VP of Finance will coordinate with the relevant groups on how to receive your funds.

 Types of projects funded in the past:

  • Graduate student-organized conferences

  • Career-building workshops between undergraduates, graduate students, and faculty

  • Cross-disciplinary events celebrating particular topics or methods of study​

INSTRUCTIONS TO APPLY:

To apply for discretionary funding, please fill out the following form and attach to the form the following documents:

1.   A 1-2 page proposal describing the nature and purpose of the event- and the funding amount requested. Please include details such as the date, time, and location of the event as well as the estimated number of presenters/speakers and attendees. If the event has been funded by SASGov in the past, please mention so in the proposal.

2.  An overall itemized budget with estimated event-related costs. Please indicate how much funding is being requested from SASGov and other funding sources. If the event has been funded by SASGov in the past, please include the previous funded budget and the current budget.

3.  A completed PowerPoint (template here).

NOTE: Applications must complete two rounds of evaluations, thus applicants are strongly encouraged to submit materials at least 45 days in advance of the event to allow sufficient scheduling time for review.

The 4 funds can now be applied together in the GAPSA Common App which is available at https://form.jotform.com/72870398092163. In that application form, in Section 3: Fund Referral, select Yes on all the options as that will make you eligible for all funds. Also, in addition to filling the Common App, you should register online as a student group on http://www.vpul.upenn.edu/osa/gopenn.html. The registration is free, and you do not need to do anything apart from entering the details on the above website.

Should your event will involve interest from students of any of the other 11 graduate schools at Penn:

  • Graduate School of Education

  • Social Policy & Practice

  • Law

  • Wharton

  • Annenberg School of Communication

  • Engineering

  • Weitzman School of Design

  • Medicine

  • Nursing

  • Dental

  • Veterinary School

You are eligible to apply for this fund to cover events of that type.

SASGov generally allocates most of its IPF funding to social events. Student groups should request funding from GAPSA and other sources before applying to IPF.

Student groups should contact either the SASGov President or the VP of Finance. The VP of Finance, the President, and the VP of Social Affairs will discuss, as a group, whether funding may be provided.

To be eligible for IPF funding, groups should receive funding from two or more graduate student governments. If SASGov’s President, VP of Finance, and VP of Social Affairs decide to provide you funding with the IPF funding, it is the responsibility of the student group to connect us with the other IPF funding government so that our governments can communicate with GAPSA’s IPF officers.
